Overview

This position checks in and returns Interlibrary Loan returnables and leads scanning and processing articles  that arrive in print, and assists with maintaining fast turnaround time. This position also orders material not owned by the University Libraries; selects titles for the collections; routes requests for document delivery and serves as backup for and processes incoming materials for the use of patrons; updates requests and follows through on routine problems.

Essential Functions

40% Process Incoming Physical Materials

  • Check in items, note restrictions, prepare items for circulation, route problems to other staff as necessary. 
  • Open packages in the mailroom daily and serve as the back up for student tasks of attaching bookstrips, shelving, routing and preparation of incoming materials for shipping.
  • Process incoming articles, scan articles and chapters as needed and assist with training students on scanning.

30% Prepare Return Physical Materials for Mailing

  • Prepare packing slips and shipping labels, handle international shipping requirements and communicate any special shipping instructions to the shipping department.
  • Sort according to appropriate shipping method; route materials as appropriate to Minitex and the shipping room in Wilson Library.
  • Hold and bundle materials on a set schedule.
  • Assist with training students on return processing and mailing to distance users.

15% Process Interlibrary Loan and Digital Delivery Requests

  • Check Libraries Search, UBorrow, WorldCat, bibliographic indexes, databases and internet sources for possible locations.
  • Verify/correct citations; record location and call number for print holdings
  • Determine full-text/open access, local print availability
  • Deliver OA and link to content found to be held locally, submit Get It (local paging) requests
  • Select ebook or print content for the collection based on ILL’s point of need parameters.
  • Submit requests to other institutions via OCLC, Docline and email.
  • Route requests found in our print collection to Document Delivery module for scanning.

10% Assist Patrons and Ensure a High Level of Customer Service

  • Answer questions; check statuses; process recalls and renewals. Provide assistance both within the library and virtually.
  • Follows up on aging requests: contacts patrons regularly about needs, corresponds with lending libraries and re-requests content as needed.
  • Assist LA III with ongoing ILLiad maintenance tasks.

5% Contribute to Libraries’ Wide, Service area & Departmental Work, Projects and Initiatives

  • Collaborate within the service area, and in other departments throughout the libraries to ensure fast and friendly delivery of needed resources.
  • Seek out new ideas related to learning, creating a welcoming environment, and customer service for the libraries to consider.
  • Potentially work across departments to help with projects, new initiatives or to increase knowledge and skills.

About the Department

ILL/DD Unit Overview

In support of the Libraries’ mission, Interlibrary Loan and Digital Delivery (ILL/DD) plays an essential role in providing access to content and collections that support contemporary and future research aligned with campus programs and, through collaborative efforts with other institutions, positions distinctive resources for use by the global community.  The unit consists of 5 FTE and two student employees. Interlibrary loan provides access to materials not available with the Libraries via an international network of libraries in highly efficient and the most cost-effective ways, and by selecting resources appropriate to our collections. The ILL/DD team also delivers content to the University’s affiliates through digitization of articles and book chapters found within the Libraries’ print collection. ILL functions in a team environment, leading and contributing to initiatives that support the Libraries’ strategic plans.
