Minitex is hiring a Library Assistant. This position’s primary functions are to process requests in the Documents to U unit of Minitex, OCLC Verification of interlibrary loan requests, and to enhance the overall effectiveness of Document Delivery and Minitex Services.

Required Qualifications:

  • Two years of relevant library experience and/or education.
  • Administrative and office skills to include familiarity with integrated automated library systems, Google office and spreadsheet software.

Preferred Qualifications:

  • Demonstrated ability to manage multiple priorities and complete assigned tasks by deadlines.
  • Demonstrated history of good work attendance.
  • Strong commitment to customer service.
  • Ability to adapt and integrate changes to work procedures.
  • Good interpersonal skills, communication skills, and proven ability to work as part of a team.

Job Duties/Responsibilities:

Process Requests in the Documents to U unit of Minitex. 45%

  • Verify and download University of Minnesota interlibrary loan (ILL) lending requests.
  • Download and print articles to fill ILL requests as appropriate.
  • Process copies, perform quality checks, mail items or transmit articles via Odyssey or Article Exchange on a daily basis to maintain work timeliness and quality standards.
  • Print and prepare mailing labels for outgoing documents.
  • Update requests in ILLiad.
  • Process Rave Reports for billing, and handle any email correspondence related to these outstanding invoices
  • Utilize Alma software and MNCAT to verify, check out and return items requested.
  • Process DTU loans using set guidelines and deliver materials to shipping staff. 
  • Assist with the verification of difficult requests.
  • Provide back up in the Library Supervisor’s absence by directing workflow within the unit, answering customer inquiries, and other duties as needed.  
  • Handle conditional requests, problem loans and returns, checking items for condition and completeness.
  • Monitor daily workflow; communicate procedures and procedural changes to student staff. 

Process Requests in the Resource Sharing Area.  45%

  • Search OCLC to verify or correct information on requests, identify holding locations and identify Internet resource materials to maintain workflow standards. 
  • Collect data and statistics as needed and provide statistical information to appropriate staff members.
  • Determine appropriate handling of unverified or problem requests. Review requests checked on to determine what further processing is necessary and route accordingly.  Specify or check bibliographic checklist tools to be used.
  • Report to Minitex participants on requests that cannot be filled. 
  • Update various systems as appropriate to indicate request status.
  • Identify libraries with recurring citation, verification, location, or format errors and notify supervisor.
  • Identify referral location for verified requests and determine appropriate referral priority.
  • Monitor daily workflow and tasks of student workers; communicate procedures and procedural changes to student staff to meet Minitex standards of timeliness and accuracy.
  • Maintain current written procedures for request processing. 
  • Work with other Minitex staff members on requests with problem citations when appropriate. 

Enhance the Overall Effectiveness of Resource Sharing and Minitex Services.  10%

  • Participate actively and positively in meetings that involve the Resource Sharing staff and/or the entire Minitex staff.
  • Establish & maintain positive relationships with co-workers in Resource Sharing, University Library staff, Minitex staff and Minitex participants.
  • Attend workshops and conferences as appropriate, share information learned with other Minitex staff using appropriate communication methods.
  • Work closely with supervisor and co-workers in Resource Sharing to insure high level of efficiency and quality of processes. Provide assistance when appropriate to other Library Assistants
  • Work with various groups and task teams that focus on office-wide or organizational concerns, as appropriate.
  • Complete all absences and time reporting on MyU by payroll deadlines.

Department Overview:

Minitex is a publicly supported network of libraries working cooperatively to improve library service.  Resource Sharing is a service in which Minitex participants transmit loan and photocopy requests to the central office.  The Minitex staff locates and retrieves needed materials and sends them to the requesting library.
